Job Title: Software Licensing Specialist
Software Asset Management and Tracking
Develop, implement, manage, and mature requisition process for software Mature and lead software license approval process with contractual obligations throughout license lifecycle (renewal, upgrade, & downgrade processes) Develop and mature procurement policies and procedures in accordance with best practices Advise/assist internal customers regarding contracts, material concerns, or administrative issues for a particular procurement Oversee and maintain IT asset database Develop and maintain key IT supplier relationships and stay current on their products, services and competitors Perform license negotiation and IT procurement on behalf of our client Facilitate license negotiations with business partners on behalf of our client. Identify and initiate changes in the terms and conditions of contracts and/or purchase orders to reflect current policies Place orders for software on an online portal or via phone for software vendors Develop and manage software compliance program and all software related audits Work closely with finance teams to ensure compliance with budget Work closely with legal teams to prepare drafts of routine contracts and obtain legal, customer and management approval as needed Evaluate IT asset procurements and provide sourcing recommendations Manage the requisition application and software asset inventory Maintain dashboard reporting for business intelligence Monitor and report on continuous improvement initiatives Liaison with business contacts and provide research to establish business need and scope for contract
Develop contract document templates for business use Serve as subject matter expert in support of license file information for team across the company
Policy/Standards and Protocol
Support development and management of corporate credit card use and provide monthly reporting Maintain and manage shipping and receiving Develop and manage IT asset management, vendor score carding, and IT procurement
Oversee and Manage Vendor Relations Processes and Provider Network
Develop and manage vendor scorecard process Support purchase order process Oversee development and adherence to procurement procedures and communications with vendors/suppliers Develop and operate purchase to pay life cycle of goods and services Manage shipping and receiving processes Support vendor selection process (RFP, RFQ, RFI, etc.) Support Preferred Provider Program Ensure procurement strategies that optimize technology efficiencies, minimize spend, reduce risk, and ensure a continuous supply Evaluate and onboard various purchasing and contracts software applications
Provide research to establish business need and scope for contract staff Modify as needed and use contract document templates for business use Approve non-negotiable End User License Agreements (EULA’s)
Service Delivery to Customer
Provide direction to desktop delivery team and infrastructure support staff for installation approval and when troubleshooting IT Assets if cost impact exists Communicate regularly with key business stakeholders to understand strategic direction, business requirements, objectives and priorities across assigned categories
Manage Vendor Budgeting & Forecasting
Verify rate and volume, invoice charges, and recommend vendor payment Provide vendor budgeting and forecasting assistance Ensure business justification is provided for each procurement
Benchmarking & Reporting
Drive the pricing and product benchmarking process Provide periodical budget and forecast reporting Monitor and report capacity optimization Collect and aggregate business forecasts
Working knowledge of software licensing industry Working knowledge of finance/accounting and budgeting Exposure to payroll and HR Information Systems Working knowledge of Supply Chain Management Project management and operational maturity training Extensive experience with Microsoft Visio, PPT, Word, Excel and Pivot Tables Reading, writing, mathematics Analyzing data or report information Creating methodologies for accomplishing a goal Conducting research Directing activities of others to accomplish a goal Drawing conclusions from written or computer generated materials Implementing recommendations by coordinating persons and/or other resources Developing plans, procedures, goals strategies or processes based on data analysis and experience
